Board Meeting Highlights

The
Chorale’s Board of Directors held its first meeting of the 2007-8 season at Atonement
Lutheran Church on Monday, Aug. 20. Here are some of the highlights of
that meeting. (For a copy of the complete minutes, please e-mail the secretary,

· For a trial period in September, the
office will be open but Erin will not be present during Chorale
rehearsals. One of the Board members will take responsibility each week
for staffing the office before the rehearsal, during breaks, and for a brief
period at the end of the rehearsal. The importance of security of the
Church building was stressed. (Jack Biddle)
· The Treasurer reported that we ended the
fiscal year with a positive income. (Jeff Hale) See details on page ……
· A committee is working on the
development of a database that will allow us to prepare many different kinds of
reports, include rosters of each ensemble as well as all ensembles together,
library information reports and some financial tracking. (Greg Herring)
· Season ticket sales have begun and will
continue until Saturday, Oct. 20. Tickets are available online using
PayPal. Parking information has been prepared to help singers and audience

· A concert dress committee will continue
to assist new singers. (Karen Haimes)
· Registration will be open Sept. 4, 11,
and 18. All fees are due September 18. Thus far, section balance is quite

· Most of the music has been ordered and
music has begun to arrive. We have also loaned music to other vocal groups in
the area. (Sam Richman)
· For the month of August, Tim Snyder has
been free of Church duties and has had some relief from Chorale
assignments. His progress on his dissertation work has been excellent.
· A vocal “warm-up” CD has been prepared
and will be distributed to all members. There will be no charge, but
voluntary donations will be accepted (cost = $2.50) (Risa Booze)
· A committee is preparing an audience
survey to collect demographic and other information (Risa Booze)
· Board members have been asked to
complete a list of their volunteer needs. Then we will ask singers which
needs they would be interested in filling (Binx Selby)
· The All Chorale Retreat date and time
is: Saturday, Sept. 29, 8:30 a.m. to 4:00 pm. The place is First Baptist
Church, Pine and 13th Sts. Breakfast and lunch will be
served. There will be no charge to the singers; however, we must sign up
during the Marketplace on Sept. 11, 18, or 25. (Miriam Lindahl)
· The concert managers are planning to
order stools for singers who cannot stand during concerts (Miriam Lindahl)
· The Newsletter editor (responsible for
content) is Jeff Livesay. The publisher (preparation) is Erin
Christensen-Mandel.
· We will continue to sell scrip (or
cards) from King Soopers. It is possible we will add Wild Oats. (Dede

Publicity and Marketing News

Welcome
to the 42nd Season of the Boulder Chorale.
First, I have to tell you that I just love singing and am looking
forward to the repertoire we have for this coming season. There is
nothing I’d like more than to fill all of our venues and sing to a sea of
smiling faces!
The
past year presented us with many new ideas and options for the Chorale to both
grow artistically and professionally. One is collaboration with Darcie
Sanders, an arts marketing consultant, who assisted Kutandara and Boulder
Chorale in presenting the Dushanbe Sister Cities Concert last spring. I
have been working with Darcie’s suggestions to grow our audience and increase
ticket sales. We will continue to advertise in the Daily Camera, Boulder
Philharmonic and CU Concerts programs and are looking for other options, both
paid and complimentary to broaden our current audience.
One
of the things that we can’t overlook is our internal network of singers. My
love of singing translates into a desire for my friends and family to come to
concerts. I feel proud of our accomplishments musically and want to share
that with them.
What
I have done to make spreading the word easier is to develop an email “Choral
Lovers” address list that I use to remind folks of our season offerings and up
coming concerts. I write a brief email
with all the necessary concert information and send it to my “list”. It
has been quite successful, generally bringing 4-10 friends, students and family
to each concert. If most of us did the same we would sell out every
concert!
I
am also looking for a team of Boulder Chorale members who would be interested
in assisting me in getting the word out by hanging posters around town. I
would like to put together an accurate list of places with bulletin boards that
are visible to our untapped audience. I
am especially looking for people in Louisville, Lyons, Lafayette, Broomfield,
Nederland, Niwot and Longmont. Posters would be hung two to four weeks
prior to concerts. If you are interested

A New Meeting Schedule for a New Year

Chorale Retreat by Miriam Lindahl
Yet
another milestone for the Chorale! Our SECOND all-chorale retreat offers
the unique experience of being more involved in the life of the choir. Special
emphasis: bonding with the music, cultivating friendships and appreciating the
sacred beauty of First Baptist Church.

daylong Chorale Retreat for All Members (Concert
and Women’s Chorales)

can expect the Chorale retreat to be a fun and worthwhile experience. We
will enjoy uninterrupted and productive rehearsal with our repertoire, good
food and spirited ‘down time’ and a couple of door prizes. Treat yourself
‘royally’; let’s make this another musical and social for all the Chorale
members. Sign-ups begin on Tuesday,

Chorale Financial Report for 2006-2007
Jeff
Hale, Treasurer, reported to the Board that the fiscal year 2006-7 (July 1-
June 20) closed with a positive balance of $1,623.
Concert fees and ticket sales represent 23% of the income;
member dues 16% and grants, donations, and fund raising brought in about 52% of
the total.
The single largest expense was for staff contracts,
about 34%. Fund raising expenses are
high because we must purchase the scrip we sell. Concert-related expenses, including tickets
and advertising, represent about 17% of the total.
Hale commented that the Board did extremely well in
keeping expenses under control.

Board Approves Record High Budget for 2007-2008
The
Chorale’s budget, approved by the Board at its May meeting, is exactly balanced
– that’s good. However, budgets are
always guesses about things like: how many tickets will we sell? How successful will our grant-seeking efforts
be? How generous will donors be? Will expenses go up? How good are our
estimates, based as they are on past experience?
You
will notice a few revenue items that are exactly matched by an expense
estimate, for instance CD sales and CD expenses; music payments and music score
purchases. This year, the two
all-Chorale retreats are to be fully funded from the budget, with no extra
contribution by the members.
Concert
fees (Mahlerfest, Brighton Fest) and ticket sales represent about 20% of the
budget, and member dues about 17%.
Grants, donations, and fund raising account for over 45%. These sources are always uncertain.
The
single largest expense is for the contracts with our staff members, almost 40%
of the total. Also please note that fund-raising expenses are high in relation
to fund-raising income. A sizeable part
of this expense is the cost of buying grocery scrip or cards. Also,
concert-related expenses are almost 60% of concert fees and ticket sales. Our routine expenses are kept to a minimum,
as you can see.

With the recent SCFD check coming in about a $15,000 shortfall (less the $
1 increase over last year) plus the additional $19,000 shortfall on the 2007/08
budget, we have
some creative work to do.

Scrip by Dede Beardsley
SCRIP! Grocery store gift cards (SCRIP) are the
effortless way for you to make money for the Boulder Chorale. The key word here is: effortless!
It reminds me of one of my favorite fortune cookies: “You will earn thousands of dollars simply
by doing nothing!”
HOW
DOES IT WORK? If you normally spend $200
each month on groceries, you’d buy $200 in scrip and use them as cash when you
shop for groceries. We earn 5% on all
the scrip that we sell. Normally we sell
about $5000 in scrip each month earning $250 each time for the Chorale and it
couldn’t be easier.
WHAT’S
NEW? First, I am submitting an
Application to Wild Oats to join their SCRIP program. (In previous years we sold only the King
Soopers SCRIP.) Second, as most of you
know, King Soopers eliminated its paper certificates in March and switched to
gift cards. So, this fall, we’ll have
King Soopers gift cards and Wild Oats (if we’re accepted).
